Connect Add/Edit enhancements

  • If there are missing or incorrectly completed fields when clicking Validate or Validate for Publishing, there is now a link that brings the user directly to the Warnings and Errors (when saving a listing) knowledge base article.
     
  • The Reason for Lead-Based Paint Disclosure Omission and Reason for Property Condition Disclosure Omission fields have been updated to require a minimum of four meaningful characters. It rejects entries of sequential (1234) or repeating (1111, AAAA, etc.) characters.
     
  • You can no longer set the List and Co-List Agent to the same agent ID.
     
  • When marking a listing UC-CTS or UC, the Team ID now autofills after the Buyer Agent ID is entered.
     
  • When trying to publish a Comp Only listing as Closed, a blank screen was coming up and preventing it from saving. The underlying cause was identified and corrected. This is no longer an issue.
     
  • The Lead Based Paint Disclosure is now required to be uploaded to any SF, CN or RN listing that was built prior to 1978. Users can choose not to upload the disclosure, but they must provide a reason.
     
  • The Residential Property Condition Report is required to be uploaded to any SF, CN and MF listing. Users can choose not to upload the disclosure, but they must provide a reason.
     
  • The Change Sales Data form has been corrected to only require Buyer Agent Notes when NONMEM is used as the Buyer Agent/Co-Buyer Agent ID. Buyer Agent Notes does not appear when any other ID is entered as the Buyer/Co-Buyer Agent.
     
  • All references to commission have been removed from the help text of the Reverse Prospect field in Add/Edit.
     
  • The maximum file size for documents has been decreased to 20MB.
     
  • For listings that go from UC-CTS> UC> Closed, DOM is now calculated based on the Purchase Contract Date.
     
  • A loophole was closed that was allowing agents to edit closed listings by going to Add/Edit> View Listings/My Transactions, clicking the pencil icon and selecting Change Sales Data.
     
  • When entering NONMEM as the Buyer Agent ID on a UC-CTS or UC listing, the Buyer Agent Notes field (Selling Agent Name and License No are required) is added to the screen as a required field.
     
  • When adding any type of private document to a listing, there are no longer checkboxes in the Choose viewing restrictions section that allow you to make it visible to certain users (All Agents with MLS Access, Agents’ Clients, All Transaction Participant Roles, Certain Transaction Participant Roles). All private documents are automatically only visible to the listing team and MLS Staff- no exceptions.
     
  • When editing a listing that was entered before the addition of the Contract Effective Date and Star Marketing Date fields, there is no longer validation on those fields that prevents the changes from being saved.
     
  • When adding documents to a listing, users can now rename the Other and Private-MISC document types via the Document Name field.
     
  • The List Contract Date field has been renamed Start Marketing Date and Expected Active Date has been renamed Go Active Date.
     
  • Start Marketing Date and Contract Effective Date fields have been added to Add/Edit, searches, custom reports and listing reports.
     
  • On-screen help text and ? icon tool tips for the Start Marketing Date, Contract Effective Date and Go Active Date fields have been adjusted with the proper verbiage.
     
  • The new fields have been configured correctly based on the dates entered:
    • Start Marketing Date only appears when the Contract Effective Date is 3 or more days in the past.
    • An error is generated when the Start Marketing Date is entered with a future date.
    • An error is generated when the Go Active Date is more than 14 days from the Start Marketing Date.
       
  • Documents are required based on the selection made in the Start Marketing Date Location field:
    • If Listing Agreement is selected, no additional document is required when publishing the listing.
    • If Delayed Listing/Start Marketing Addendum is selected, an error is generated when trying to publish the listing if the Delayed Listing/Start Marketing Addendum has not been uploaded.
       
  • The Feature List (when clicking the ? icon in the top right of the listing input screen) now displays all the fields that are available for the listing’s specific property type. The list should mirror that which is available when using Add/remove Fields on a search.
     
  • Office Admins who are in the main office of their brokerage can now see all private documents that are uploaded to listings within the entire brokerage (including branch offices).
     
  • The system is now properly configured to prevent agents from back dating expiration dates when bringing listing back on market. New expiration dates must always be after the listing’s current expiration date.
     
  • The Hubbard On/Off option is no longer available for listings in the Under Contract status.
     
  • Properties in Massachusetts are not allowed to be entered on SmartMLS as Residential Rentals (they can be entered as any other property type). Trying to save a Massachusetts Rental property results in the following error message: “Massachusetts has specific regulations for rental listings that are not currently supported by SmartMLS”.  
     
  • A property can’t be re-listed as Coming Soon if it had been previously listed and marked WITH, CANC or EXPD within the past 90 days. There was a 90-day rule check in place to prevent this, but it was not functioning properly. It is working properly now.
     
  • For Rental listings, selecting Internet in the Landlord Responsibility field no longer displays as Null when the property is sent via autoemail or the Share feature.
     
  • Co-list agents, even when they are in a different office, can manage listing details, photos, documents (public or private), etc. but are restricted from changing the primary list agent fields in Basic Listing Information.
     
  • The photo watermark has been updated to remove the copyright icon. The watermark now displays SmartMLS, Inc. 2025.
     
  • Listings in the TEMP status can now also have the Hubbard Clause flag enabled.
     
  • Private- Delayed Listing Addendum has been added as a new private document type.
     
  • The Move In/Move Out Fee option has been removed from the Tenant Responsibility field for RN, CL and BU listings.
     
  • You can now have separate comments for each open house event. You no longer have to use the same comments for all open houses.
     
  • The Clone from Tax + MLS Number functionality has been improved to reduce confusion.
     
  • The listing lock functionality has been enhanced so all instances of a locked listing are cleared when the Exit Edit Session button is clicked.
     
  • The verbiage (MLS Rules Check Summary) that appears when you Validate/Validate for Publishing a listing (Draft or Active) has been updated to reference the correct button (it said to click Save Changes instead of Validate for Publishing).
     
  • If you are actively editing a listing and then use the Add/Edit menu to switch to editing a different listing without saving your work or clicking cancel, the original edit session is completely cleared and the new edit session that opens is for the correct listing (not the first listing you were editing).
     
  • When adding a Comp Only listing, it cannot be published without uploading a Private Non-MLS Closed Transaction form. An error will generate if you try to save the listing without uploading the correct paperwork.
     
  • The Property Tax field in Add/Edit no longer accepts cents. As soon as you type a period at the end of the dollar amount, typing a 5 or above rounds the dollar up by one; entering a 4 or below keeps the dollar amount the same.
     
  • When a list agent enters 0 for the Property Tax and/or Assessed Value field (in Add/Edit), it shows as TBD on the listing.
     
  • A Tooltip ? icon has been added next to the Display AVMs with this listing YN field in Add/Edit with a detailed explanation of AVMs.
     
  • If you try to enter a tour/open house for a Coming Soon listing during the coming soon period (prior to the Expected Active Date), it will throw an error and you won’t be able to save the event.
     
  • The Total Number of Units field has been updated to Total # of Units in Add/Edit and on searches and reports.
     
  • If a listing is set to Withhold from MLS, the Configure ShowingTime field is removed from Add/Edit (since no showings can occur through the MLS on WFMLS listings).
     
  • If you enter a PCD that is within 7 days of the current date, a warning message (Your Proposed Closing Date is less than 7 days in the future) now appears.
     
  • The July 2025-June 2026 option has been added to the Tax Year field (on the Location tab) in Add/Edit, which, in turn, displays on reports.
     
  • The Flooring field has been added to the Structural/Exterior Info tab in Add/Edit for Commercial for Sale and Commercial Lease listings. The Flooring field appears on the Full Detail reports for these property types.
     
  • When entering an out-of-state listing, the Mil Rate must be between 1.000 and 95.000. Anything outside that range will generate an error.
     
  • The clone feature now works across all property types, including cloning from Commercial Lease to Commercial Sale (and vice versa).
     
  • The Public Remarks Addendum now has a consistent character limit of 2,400 (it had been dropping to 500 when a user started entering text in the field).
     
  • The Offers Under Review status flag is automatically removed after 48 hours (assuming the list agent does not manually remove it sooner).
     
  • The Mil Rate field should populate based on the Total Mil Rate (not the Base Mil Rate).
     
  • If there is a space or an invalid character (such as %) in any of the virtual tour URL fields, it generates an error and prevents the listing from being published.
     
  • In Manage Photos, you can now delete photos individually or as a group (a warning/confirmation window will appear anytime you try to delete photos).
     
  • When performing the tax search at the beginning of the listing entry process, the search results are now sorted alphabetically by street name instead of by parcel ID.
     
  • If you choose Closed- Comparable Only as the Activation Status during listing input, when you get to the end and publish the listing, you are immediately brought to the Edit Listing Status page, where you can enter the closed information. The listing will go from Draft> Closed with the label Entered for Comparable Data Purposes.
     
  • When you go to Add/Edit> Add/Edit Photos, enter the list number and click Submit, the Manage Photos screen opens immediately without any random Image Recognition message.
     
  • Full Bath has been added as an option/feature for the Office room type.
     
  • For Residential Rental listings, the RentSpree Y/N field has been updated to RentSpree Online Application Y/N and a ? help icon has been added to the field.
     
  • If you happen to have the Validate for Publishing screen open in multiple browser windows simultaneously and click Validate on each, it will not create duplicate listings. The first tab will bring you to the Listing Saved Successfully screen and the second tab will bring you to My Listings/Transactions.
     
  • A property that was listed as Coming Soon cannot be relisted as Coming Soon by the same Firm within 90 days of the original CS listing expiring or being cancelled.
     
  • When working with listings that have a lot of photos, clicking on any individual photo opens the photo preview in place. You no longer need to scroll up to the top of the screen to see the preview.
     
  • When a user tries to delete a photo, they will now receive a confirmation message before the photo is deleted.
     
  • The pre-direction, post-direction and unit # fields are displaying properly on all tabs (specifically the Contract and Location Info tabs) during listing input.
     
  • Buyer’s agents on UC-CTS and UC listings can no longer add private documents to the listing in the Transaction Dashboard. They can only upload public-facing documents.
     
  • Once a listing is active on the MLS, only MLS Admins can remove or edit its private documents (no one else- not the List Agent, Office Manager, Admin or Broker, can edit or remove private docs). Private documents can be edited or deleted while the listing is still in the Draft status.
     
  • If you hover over the ? help icon for the Total Bedroom field, the help text now displays Enter the total number of bedrooms in the property.
     
  • Users can no longer upload HTML or HTM files to their listing as documents (an error is generated, and the file is prevented from being saved).
     
  • When entering a Business for Sale listing, the Property Manager YN field is no longer causing an error/hard stop.
     
  • When working in the Basic Listing Information section (Contract tab), you can make multiple changes at one time and all of them will be saved and immediately viewable on the Contract tab.
     
  • When cloning from a listing that has the max number of photos (40), there is no longer a significant delay (2+ minutes) moving from the Basic Listing Information screen to the Contract tab.
     
  • The rooms in Add/Edit can be reordered via drag & drop, up/down arrows or by using the numbered boxes (just like the process for rearranging photos).
     
  • Using the words offer, offers, show, showing, and showings in the free text fields (Remarks fields, for instance) no longer triggers a warning when validating/Publishing a listing.
     
  • If you go to Change Sales Data for a Closed listing, you should now see whatever you entered in the First Time Buyer field when you marked it Closed.
     
  • You no longer have to click Save two different times in order to save a tour/open house. There is now a confirmation window that pops up after clicking Save to let you know your event has been saved.
     
  • There is a relatively new required field on the Change Status to Closed form called First Time Home Buyer. We have just added an Unknown option to go along with the Yes and No options.
     
  • In the Change Sales Data form, updating to a new Buyer Agent ID should automatically update the Buyer Office ID as well.
     
  • If you choose Seller or Other in the Photographs Taken By field, you will get an error/hard stop when clicking Validate for Publishing. The error message has been updated to You must upload a Photo License Agreement if you've selected "Seller" or "Other" for Photographs Taken by.
     
  • Co-List Agents are now able to edit listings by going to Additional Info> Edit this Listing.
     
  • Exterior Access and Walk-In have been added to the Attic Access field.
     
  • Front of Condo, Front Door, Side Door and Back Door have been added to the Click to edit title drop-down list (in Manage Photos).
     
  • When marking a listing UC-CTS or UC, USDA has been added as an option in the Financing Used field.
     
  • When cloning a listing with photos, users will encounter a copyright message that must be confirmed with a checkmark before publishing the listing.
     
  • When using 999999999 to start a listing, all public records sqft fields (Living Area SQFT per Public Records, Basement SQFT per Public Records, Partially Finished Basement SQFT per Public Records and Unfinished Basement SQFT per Public Records) autofill with Not Applicable. When cloning from a listing that has tax data in some (but not all) of these four public records sqft fields, any fields with no data autofill with Data Not Available.
     
  • The Sauna option for both the Rooms Additional field has been changed to Steam/Sauna. This also applies to the Sauna option in Room Features (it is now Steam/Sauna).
     
  • When using Change Sales Data on a UC-CTS or UC listing (extending the PCD, for instance), the last change type and last change timestamp should no longer be updating.
     
  • When Passive Solar is selected, none of the Energy Feature fields (Solar Contract Details, Power Production Type, Power Production Size, Power Production Annual Status, Power Production Install Year, Power Production Electric Type, Power Production Owner) should appear. They should only appear when Active Solar is selected.
     
  • If you try to publish a listing where the address does not match the tax record, you now get a warning rather than an error/hard stop. You can still publish the listing (previously, you could not publish without making the address match the tax record).
     
  • The Acres Source field is now required when entering a Single Family or Multi-Family Rental listing.
     
  • The free text fields (such as Remarks, Showing Instructions, Directions, etc.) now generate a pop-up message when their character limit has been exceeded.
     
  • The Acres field is now required for SF and Multi-Family Rental listings.
     
  • For listings that expired within the past 3 days, extending the Expiration Date also changes the status back to an Active status (with the Back on Market change type).
     
  • When entering a Mobile Home (as a SF for Sale listing) with a Parcel ID of 999999999 on Leased Land (Property Info field), the Acres field can be set to 0 (normally it requires an entry between 0.05 and 500 acres). Note that the property info field must equal Leased Land to allow the acres field to be set to 0.
     
  • When a Coming Soon listing is changed to Temp and then to Back on Market, it now goes back to Coming Soon (it was mistakenly being marked Active).
     
  • If you change the geolocation of a listing to somewhere outside of the acceptable range (state of CT), a hard stop/error is generated. The coordinates must be updated to within the acceptable range in order to publish the listing.
     
  • Price changes that occur within 24 hours of activation should not be recorded on the Listing & Property History Report (it should not cause a Change Type), regardless of the method used to change the price.
     
  • Expiration Dates can no longer be back dated (set to a date in the past) or set to a date more than 2 years in the future.
     
  • Extending the Expiration Date within the 3 day window after the listing expires automatically updates the status to Back on Market.
     
  • Users can add up to 30 rooms per listing. Each room added must have a Room Type and Room Level.
     
  • The acceptable range for the Acres field in Add/Edit is .05-500. For properties with a valid parcel ID, entering a figure outside this range will generate a warning when you Validate/Validate for Publishing. It is an error/hard stop for properties using 999999999 as the parcel ID. 
     
  • If you update the latitude/longitude coordinates to an area that is outside of the state of CT (Latitude must be between 40.95 and 42.08, Longitude must be between -73.76 and -71.76), you will now get an error/hard stop when trying to Validate for Publishing.
     
  • Using a Post Direction in the address section on the Basic Listing Information screen no longer causes a validation error.
     
  • When the Withhold from MLS field is set to Yes on the Basic Listing Information page, a light blue window appears and explains the terms of WFMLS listings.
     
  • When marking a listing Closed, an error/hard stop occurs if you use a decimal in the closed price field.
     
  • For listings that go from Withdrawn> Expired, the DOM calculation is no longer including the time the listing was in the WITH status.
     
  • When cloning from a previous listing, Connect is no longer using the previous listing’s parcel number during the validation process. There are legitimate instances where the parcel number can be different between the previous and new listings, so having an error/hard stop caused by the parcel number is not ideal.
     
  • During Add/Edit, if there is a mismatch between the address on a listing and the address on its tax record, the system will generate a warning rather than an error.
     
  • Connect is now recognizing when Other is selected as one of multiple options in the Photos Taken By field and requiring the upload of a license agreement.
     
  • If the Withhold from MLS field is set to Yes on the Basic Listing Information screen in Add/Edit, a window will pop up with a reminder about the rules surrounding WFMLS listings.
     
  • URLs that redirect to another website are now prevented from being added to the Virtual Tour fields.
     
  • Public documents uploaded as Property Inclusion/Exclusion Rider or Supplement to Residential Property Condition Report are no longer unable to be seen.
     
  • When a listing goes from Coming Soon> Active, it is now showing as New (the same way Matrix handles this transition).
     
  • The Room Dimensions fields have been updated to allow for two decimal spots after the period (to support 10, 11 and 12 inches).
     
  • Expired listings can now be extended within the first 3 days (72 hours) after they expire. These changes are based on user permissions- agents can do their own listings, managers can do their office’s listings and head brokers can do listings within their organization.
     
  • When using the Change Sales Data form, the List Price was being set as the Search Price. This was fixed so the Closed Price is set as the Search Price.
     
  • When entering a Multi-Family listing, you must enter the number of rooms for each unit (the Unit Num Rooms field is required). Connect will automatically add these fields up to populate the Total Rooms field.
     
  • For Condo listings, the mismatches between selecting certain items on the input form vs what Generate Listing Sheet displays have been fixed. Previously, selecting convection oven would select refrigerator, selecting refrigerator would select microwave. This is fixed.
     
  • Updating to a new buyer’s agent without updating the Transaction status was only working properly (updating the Participants) when using the pencil icon in View/Manage My Listings & Transactions. It is now also working if you go to Add/Edit> Change Sales Data or by going to the Transaction Dashboard and clicking Edit Listing Info> Change Sales Data.
     
  • After clicking Validate for Publishing, the street type was missing from the address on the Listing Summary page. This has been fixed.
     
  • When a WFMLS listing is marked Closed, it is automatically marked as Comp Only.
