Remove private documents from a listing

Once a listing has been saved as Active, Coming Soon or Withhold from MLS, private documents that have been uploaded to it cannot be removed, not even by SmartMLS staff. This includes Listing Agreements, Coming Soon Addendums and Withhold from MLS paperwork. Uploaded documents (public and private) are part of the historical data of the listing and must remain attached to the listing.

Reminder- private documents can only be seen by the list agent and their office management hierarchy (admins, manager, broker) and SmartMLS staff. No other users (or their clients) will ever see private documents.

If you have already uploaded a private document and need to upload a newer/updated version of it, just upload the new document in the same fashion as you did with previous documents. There is no need to remove any previous versions of the document.

If you would like, you can enter a date or some other text in the Document Name field to help distinguish it from the previously uploaded document:

This is not necessary, though, because all documents are timestamped when they are saved to the listing.

 

You can remove private documents from a Draft listing, but lose the ability once the listing has been activated (Published) on the MLS.
