If you have set up an auto email to send listings to your client on a specific schedule, there are a few scenarios that could lead to listings being sent outside of the pre-defined days/times you initially set up when saving the search.
- Editing a Saved Search
If you edit a saved search and have not selected the Delay running until next scheduled run time setting (in the Upon Saving section), it will default to Run Immediately when accessed. After making changes to the search, if you exit the Save Search screen without selecting the Delay running until next scheduled run time option, the search will trigger an immediate email to the client (and BCC you if that box is checked) with any matching listings found upon clicking Save.
- Re-running a Saved Search
If you click the re-run linkin the Prospecting Manager, you will encounter the following popup window:
Clicking OK to confirm the message will immediately run the search and send any applicable listings to the client (and you, if you've added a BCC to the search). - Manually running a saved Auto Email
Listings can also be sent outside the normal schedule by manually running a saved auto email and emailing some/all of the results. - Running a new manual search
When you run a search manually and send the listings to a Client that is already set up with a scheduled auto email, if you choose to send those listings to the same folder that their scheduled auto email is using (instead of using a different folder or creating a new folder), the listings will be grouped with their auto email results and it may appear that the system is not functioning properly.
