Client Portal access for auto email with zero matches

 

There may be times where you set up an auto email for a Client and there are no properties currently on the MLS that match the search criteria. Since a client's access to their Portal is predicated on there being matching listings to send them (so they can click the Portal link in the email), if there are no matches when you first set up the auto email you might think that you're in a jam....

Don't worry- there is a way for you to get your client into their Portal even when there are no properties that match their search criteria when you save their auto email.

Go through the normal process of creating a new auto email (click here for a detailed article about setting up an auto email). You can finish the process even if there are no matching listings on the market.

The client will not receive the initial/welcome email, so they will not have the ability to click the link within the email to visit their portal (here is what it would normally look like):

Since they won't receive this email, they cannot click the link and activate their Portal. That also means that no additional emails will be sent (should any new/changed listings come on the MLS that match their criteria).

The trick to getting them in to activate their Portal is to send them a Portal message. Just click the My Clients icon 2023-07-26_8-46-07.jpg in the top right corner of Connect:

Click on the name of the desired client:

Click the New Message link:

This opens an email template that allows you to sent the client a message. When they receive and open this email, they will see the message you sent. In addition, there will be a link to their Portal:

This will activate their Portal and allow them to receive emails when new matches for their search criteria are found.
